Creating Holdings in Sirsi
					
TO CREATE HOLDINGS:
Use the command Edit Item once you have selected the call for the record you
want. Scroll down to the holdings area after the bibliographic record:

		CENTRAL

holdings records -- []

Click on the box so it turns blue. Then click on the gray AFTER button just
above the title. This will bring up a holdings template. 

Rec_Typ defaults to y for serials -- change to v for booksets
Enc_Lvl defaults to 4
Lang defaults to eng -- change to appropriate language code if holdings 
captions are in another language, i.e. for Bd., use ger (same as lang code
in the fixed field of the bibliographic record)

Click on the field you wish to edit; it will turn blue.
Copy and paste (or type in exactly) the home location from the top of the bib record in a subfield c in the 852 field. This is the **required field**. Use subfields h-j for call no. information. h=classification part (ex: Q1 in example below , Shelved by title, Shelved separately) i=item part, Cutter or date to make item unique (ex: .N2 in example below ) **for titles with double Cutters,include first in |h: (ex: |hHF5681.R25|iI535) j=shelving control no. (ex: MiFilm 106) Use subfield z for notes that display in the OPAC
  • For classed together analyzed series, use: |zFor circulation status search by individual author or title
  • For shelved separately titles (formerly Classed sep.), use: |zFor call number and circulation status search by individual author or title Use subfield x for notes that do not display in the OPAC Type holdings data in the 866-868 fields, with no spaces between the subfields and data but a space between the enumeration and chronology. Science library example (actual notes vary according to library): Location: 852 [] |cPERIODICAL|hQ1|i.N2|zScroll down for list of current issues shelved by title on the Current Periodicals shelves Holdings: 866 [41] |81|av.1 (1990)-v.6 (1995) Indexes : 868 [41] |80|av.1 (note: 866 appeared in NOTIS as 866:41:80; due to conversion, 866 appears with no indicators and linking number changed to 81; supplements and indexes currently display before holdings due to lower linking number (80): Sirsi has been asked to reorder fields according to tag no. to correct this. Use indicators on new holdings records or add to retrospective records as they are worked on. Hit Go when done; Display 1 Item to check display in OPAC. Holdings record now appears on bib record as: CENTRAL HOLDINGS holdings records -- [] [] 6TH-FLOOR -- [unassigned] note: unassigned means not linked to SCR TO EDIT HOLDINGS: Use the command Edit Item once you have selected the call for the record you want. Scroll down to the display of holdings records listed after the bibliographic record. CENTRAL holdings records -- [] [] 1 6TH-FLOOR -- [unassigned] [] 2 REFERENCE -- [unassigned] Click on the box to the left of the holdings record you wish to edit; it turns blue. Then click on the gray EDIT button just above the title (not the edit option under Unicorn Infoview). This will bring up your holdings record for editing at the end of the bib record. Delete 245 [] INTERIM RECORD. (This field resulted from conversion) Add data to other fields as needed. Click on GO to save changes. TO ADD ANOTHER HOLDINGS: Click on the box to the left of the holdings record you wish to add a holdings record before or after; it will turn blue. Click on the gray BEFORE or AFTER button to bring up a holdings template. Note: locations currently display in alphabetical order in the OPAC, regardless of how they are ordered on the bib record. TO DELETE HOLDINGS: Click on the box to the left of the holdings record you wish to delete; it will turn blue. Then click on the gray DELETE button. You will be prompted for confirmation that you really wish to delete a holdings record. Change default value of N to Y and hit GO.
