A. RECEIVING PREDICTED ISSUES:

From a screen that has captured the Control ID at the top of the screen, 
such as Display 1 Checkin or Edit Control, use the command 
Receive Item.

Copies received here refer to the number of subscriptions in a given library
to be received(as indicated on the control record, not 
actual receipt). If your checkin record matches the piece in hand, click 
on Go. The message in red at the bottom of the screen says: Items 
received.  To verify receipt, click onDisplay 1 Checkin. Date 
received for that issue will have changed from NEVER to today's date.
Note:  The system searches checkin records for issues expected from the 
1st of the previous month into the future. To receive material expected 
earlier than this, change the expected date on the receive item screen.


B. RECEIVING OCCASIONAL NON-PREDICTED ISSUES (supplements,  special issues, 
indexes):  

**Note: Many supplements require their own bibliographic record. Consult a 
cataloger for treatment decisions, or refer to notes on how to handle  
(comment lines in Sirsi or notes in the order records that converted from 
NOTIS OPRs)  

  • Method 1: Use command Receive Item. Type over both the numeration and name fields of the next regularly expected issue which is brought up. Click on Go. You will receive message, Item received. This technique creates a new checkin record that is numbered sequentially after other existing checkin records. If the "# of copies to add to catalog" and "form of name to add to catalog" options on the SCR are in use, item records will be automatically generated. If no item record display of the special issue is desired, use the command Remove item.
  • Method 2: Use the Create Checkin technique to create another checkin record and fill in issue specific information, date received and the number received. If a display in holdings is desired, add supplements to an 867 field and indexes to an 868 field (Edit Item--Edit Holdings).
  • Method 3: Use command Receive Item. Click on Go to receive. Then click on Edit Checkin and beside the issue no. type + supplement (or whatever suits the case in hand). This method has the advantage of not automatically generating an item record and not producing an out of sequence checkin record. If a display in holdings is desired, add supplements to an 867 field, and indexes to an 868 field (Edit Item, then Edit Holdings). C. RECEIVING ISSUES OUT OF SEQUENCE:
  • Method 1: Use command Receive Item. If issue on screen is not the same as piece in hand, type over the numeration and name fields with the data exactly as it is formatted by Sirsi. The right checkin record will be used when you click on Go.
  • Method 2: Use command Display 1 Checkin to find the expected date of receipt of the issue in hand. Use command Receive Item, and change expected date to this date.This will pull up the correct checkin record. Click on Go to receive. D. RECEIVING IRREGULARS (no predictive pattern can be established): In order to create checkin records, a serial control record must first be produced, but do not input numeration, name, or calendar information. (The Fiscal Cycle and Vendor ID are required for claiming). After the serial control record is created, use the CREATE CHECKIN command to fill in the information from the issue in hand. Consistency in data entry is important in setting up checkin records using this method so that issues sort correctly in the Webcat. Use spacing conventions and no periods on abbreviations of months just like issues set up with patterns for the sake of simplicity, e.g. V. 1 NO. 2 in the Numeration field and JAN 1996 in the Name field. Example: No. 35 1996 received roughly once per year Use command CREATE CHECKIN Resulting Screen: numeration: NO. 35 name: 1996 date expected: 12/30/96 date received: (leave blank) number received: (leave blank) date to claim: 1/30/97 date claimed: (leave blank) number expected: 1 claim reason: (leave blank) times claimed: (leave blank) claim comment: staff comment: If the title has a number and year each issue, fill in this information in on the Create Checkin screen. Also fill in the best estimate of a date expected and date to claim, so that claiming reports can be run. If something is so irregular that an expected date cannot be estimated, this can be left blank; however, it will not be found on a claiming report and will require manual claiming. Dates at the end of the year are recommended so that reports may be run at least once per year. Note: if you fill in "Days to wait before claiming" on the SCR, it's not necessary to fill in a date to claim on the Checkin record. Your Checkin record is created when you hit Go or Enter. Even if your title does not have a numeration and name, use a fake number or name for the purposes of receiving the item because Sirsi will not let you receive without both. What displays when you receive is determined by values in the Public Catalog Entries section of the SCR. Use the command Receive Item to bring up your checkin record. If the Numeration and Name fields match the piece in hand, click on Go or press "Enter." Item received will display in red at the bottom of the screen, and Date received and Number received will be automaticalIy filled in. If information on the piece in hand does not match the checkin record,Edit Checkin as needed and then Receive Item. Always generate a new checkin record for the next expected issue, inputting a new date expected and/or date to claim. numeration: NO. 36 name: 1997 date expected: 12/30/97 date to claim: 1/30/98 number expected: 1 Use command Edit Item to create/edit the holdings (866) in the bibliographic record.
