Gift Coding for Catalogers
Purpose: This little procedure is intended for use by a cataloger who adds a record (or a second copy on an existing record) herself to Acorn for a gift item and then catalogs it, rather than having the record brought in by Order Services staff. (This situation may occur when a verifier is unsure what record to use and routes the item directly to a cataloger without provisionally adding it to Acorn.)
The procedure presupposes the existence of a gift slip. All steps below except step 2 are the same whether a new record is made or a new copy is added to an existing record. In all respects not noted below, cataloging is just the same as if there were already a record when you got the book.
- Add a 541 field to the bib record containing only the donor's last name (Waldinger, for example) if a donor's name is noted on the gift slip.
- Add a 952 field to the bib record containing: the location; "c. 2" (if you are adding a new copy to an existing record and the new copy is for same library as the first copy); bibliographer's name; your initials; the date, and any special binding or other instructions. For example:
CEN,c.2;ROMANS;jpw03192003; INTENTIONAL DUPLICATE - In the copy record, "item cat1" contains the subject code (which should be found on the gift slip) and "item cat2" should be "GIFT."
