Importing Authority Records from OCLC Passport via Smartport

 

1. In Passport, be sure that you have an export session established that will save files to your local drive. To do this, go to the Session menu, choose Settings. Select the last tab, Export/Transfer. Under Export: Select an Export Destination, note what sessions you have. For testing purposes, I created one by clicking on the Create button, and selecting File, Clicking OK, then navigating to C:\ where I set up a file called test.dat. Then I clicked OK again, and then a second time at the Export Destination Name window. When you get back to the main Settings window, you'll see that the file you just created is the one selected. Choose Close, and you'll be prompted if you want to save your changes to your ini file. Say yes. You're ready for exporting on the Passport side.
REMEMBER: the next time you are in that Passport session and want to export via the traditional route, you'll need to reset the Export Destination to Lpt:Lpt3.

2. When you are exporting, you may export as many records to the single file as you need to in a session. For example, if there are 10 records you need to bring in, simply search and export each one in Passport until you're finished. The records will be added after each export to the .dat file you're sending them to. The next time you start a Passport session and export a record, you'll be asked if you want to overwrite the .dat file. If you say yes, you'll be starting a fresh collection of records in your file.

3. With the Passport portion finished, go to WorkFlows and launch Smartport. In order to bring in your records, you do not need need to be connected to any of the databases, so you can close the Z39.50 Servers connection window if you like.On the Smartport toolbar, click on the Saved Files button (looks like a floppy diskette). This will bring up the Saved Files window:



4. If you have not imported and/or saved any files in the past, the window will have no .mrc files in it. If you have, it will list them as in the image above.
5. Before you can capture the record, you will need to import it. To do this, click on the Import button in the Saved Files window toolbar.

The window that appears will look like the one below:



You will want to navigate to the location of the .dat file from Passport. In the example above, I have navigated to the C: drive and selected the Test.dat file. Once you have selected the appropriate file, click on the Open button.This box will appear:

Select Raw. You will be prompted to save the imported file:

Type in the file name and click on Save. The file will appear in the Saved Files window as below:

When you do, the "Select format to use" window will appear: make sure that file is highlighted and then simply click on the View button.


Select ZAUTH and click o.k.

You will then be able to view, capture, replace and print records as you normally do in Smartport. The Forward, Backward, and Jump buttons will allow you to browse through as many records as you have in your .mrc file. You may capture as many as you have in your file as well. The .mrc file will not be overwritten when you next import, but the .dat file will when you export.
