DIVISION-WIDE ACTIVITIES:

 

The final version of the ERMS White Paper, "Potentials for E-resource Management" was made available to the Library via the Staffweb at:

At its February 20 meeting, the Strategy and Planning Council approved the formation and charge for the 'ERMS Evaluation Project Team', which Janice Adlington will be chairing.  The team will report recommendations to SPC by mid-May.

 

The Metadata Committee recommended creation of a VU e-Archive Application Profile Project Team, and Susan Bell has agreed to serve as chair. Pete Wilson, Mary Charles Lasater and Don Jones edited metadata for a few more items added to the VU E-Archive, which now contains 124 titles in approximately 15 different collections.

 

Angel Craddock worked with Janice Adlington and Roberta Winjum to create a new section on the Tech Services web site for E-Resources information. She also updated several pages .

 

In February, we received our first individual Netlibrary e-book order.  The order was successfully placed, and received within about a week. This gave us an opportunity to update our e-book procedures.

 

PERSONNEL ACTIVITIES AND EVENTS:

 

Sue Davis is a member of a new Staff Advisory Council committee, called USAC Staff Welfare.

 

Janice Adlington attended the Electronic Resources & Libraries Conference in Atlanta.

 

Many TS staff were able to attend one or both of the Central Bibliographer presentations in Feb. Susan Bell is a member of the Search Committee.

 

Some attended the Camtasia brown bag, the webcast Library Culture & Millennial Generational Values, and viewed a webcast from the SIRSI Dynix Institute.

 

CATALOGING AND AUTHORITIES:

 

Ann Ercelawn met with Steven Nordstrom to provide information on local series practice.  Becky Atack, Zora Breeding, Don Jones and Jeff Taylor reviewed some of Steven’s cataloging.  We are very glad for the opportunity to offer him some training and feedback. 

 

Mary Charles Lasater and Ann Ercelawn spent quite a bit of time testing Primo and posting comments to OAK.  They also met with Julie Loder about how Primo deals with serials.

 

Molly Dahl resumed work on the Ecclesiastical Sources for Slave Societies project.

 

Linda Davis completed the project of preparing bound volumes of gifted Japanese periodicals for Marking. 

 

Gina Berry had time to work on overlaying records for VHS tapes in the Media Center.  She reports that she only has about 500 more to go.

 

Jeff Taylor continued work on the Peabody video reclass project.

 

Denise Chavez was able to catch up on the unauthorized headings lists, leaving her more time to work on NACO authority revisions and deletions.

 

Mary Charles Lasater processed the MeSH update.  Because MeSH headings are only updated once a year instead of monthly, this is a time consuming process.

 

Yuh-Fen Benda continues to create Chinese name authority records through the LC funnel program.

 

Pete Wilson initiated discussion on reviewing the way CD-ROMs on the Central Reference Network are being handled.  David Carpenter was open to forming a group to study the process of adding, storing and withdrawing these materials.

Janice Adlington met with John Haar to finalize fields and contents for the 'licenses' spreadsheet and with Rick Stringer-Hye to learn how to use the SFX data loader

Invoices:

Most of the renewal invoices for Swets and Ebsco (which were prepaid this year), have now been received.  We are near the point of being able to write a check to both vendors, so that the amounts we have "paid" to them thus far this year will change from being "invoiced" to being "paid", in Acorn.

 

OS Team meetings:

Early in the month, OS held a training update session in our team meeting to answer any remaining questions regarding invoice payment in Java WorkFlows. Everyone seems to be feeling more comfortable with the new client.

 

Mary Ellen Wilson also requested any suggestions from the team regarding ways to streamline our processes.  We made a few modifications to some of our internal work flows.  We also reviewed how verifiers handle Blackwell approvals - particularly the paperwork involved, and made an effort to eliminate unnecessary writing on the approval slips and other internal documents.  We are currently following up on other suggestions. 

 

We also had an overview of the Performance Review process so that everyone could begin working on their review.

 

On February 21st, Monica Sanchez, Chris Waldrop, and Mary Ellen Wilson, along with Roberta Winjum, met with Justin Clarke, our new Regional Service Manager from Harrassowitz. 

 

Mary Ellen Wilson worked with Dale Poulter and Nancy Boggess-Korekach in LITS to automate the retrieval and processing of the Brodart Leisure Reading plan records. 

 

After a lapse in a gift subscription the publisher of Supplemento al bollettino statistico generously sent us a huge box of back issues dating to May 2003. As bibliographer Susan Widmer noted, neither the University of Tennessee nor the University of Kentucky collect this title, so it's important that Vanderbilt keep it. All 239 back issues (approximately 70 per year) were added by the serial receivers.

 

Christopher Waldrop also began beta testing SwetsWise, the new database being developed by our vendor Swets.

 

At their request, we supplied Science with a list of titles they subscribe to published by Taylor & Francis (including Dekker), Birkhauser, Sage, Mary Ann Liebert, Maney, World Scientific, and Walter de Gruyter.

 

Yan-Xia Zhong, Ibtisam Latif, and Angel Craddock saved the libraries $983.40 by identifying duplicate order requests prior to ordering.

 

Yan-Xia and Angel created more records for the Peabody Thesis Cards.

 

PRESERVATION:

 

Sue Davis visited the Annex to upload PEM data from the two dataloggers, and sent the results to Peg Earheart. 

 

A new computer installation for Sue Davis brought with it unexpected complications because of a couple of unique applications.  Resolving the snags included a request for a new piece of hardware.  Sue also received a copy of the Camtasia software with the idea of using it to create Preservation tutorials.

 

Binding:

612 holdings updated and  60 Acorn item records created as a result of binding

Almost the entire team is involved in an effort to resolve an increasing variety of binding quality problems.

 

Marking:

4,993 volumes

317 RUSH items

We are labeling regular materials a bit over a week after their arrival.  The pace of materials coming to marking has picked up again in the last few weeks.

 

Repair:

313 volumes were repaired with 469 treatments

This includes a completed wrapper box order and a focus on spine/hinge repairs.
