8/30/00 RSIG Meeting

Attendees: Susan Bell, Nancy Boggess-Korkach, Zora Breeding, Sue Davis, Peggy Earheart, Monica Sanchez, Flo Wilson, Mary Ellen Wilson, and Roberta Winjum.

Training Roberta. The group welcomed Roberta Winjum to her very first RSIG adventure. At Roberta's request, RSIG discussed how to best train her about Resource Services staff and operations. ACTION: Roberta will read through Joe’s Book to learn about the general RS workflow. She will meet with team leaders and additional RS staff to learn more specifics and to see how we process materials. She will also talk with John Haar about the role of bibliographers.

WorkFlows Celebration. Sept. 15 is the last day for InfoView. To celebrate the transition to WorkFlows (or mourn the passing of InfoView) a pizza lunch will be provided at Baker on Monday, Sept. 18. ACTION: Enjoy pizza on Sept. 18.

TOC Contents and 9xx field. Flo announced that the updated Marcive profile has been sent off and will be effective Sept. 1. Zora raised the issue about protecting the Marcive-added 505 field should an overlay become necessary later. The group discussed the possibility of changing the 505 tag to a locally protected 9xx field temporarily, and changing back to 505 after the overlay. ACTION: Zora and Nancy agreed to investigate. (8/31 update: Zora’s suggestions are in place. The 905 field was designated for use during the overlay process)

Monthly Reports. Because Roberta will assume the role of coordinating the RS monthly report, the group explained the joys of the process. Flo asked that this one last time, the group send the team monthly reports to her. ACTION: Roberta will review past reports to get a feel for the type of information we typically include.

UK Approvals and Promptcat. The group discussed at considerable length the value of creating a Promptcat profile for UK approval materials. Local research in Order Services shows that approximately 1/3 of these items may have LC copy. The downside of using Promptcat is that LC records may not always be the ones selected, even if available, especially if there are multiple UKM records. The consensus was that the advantages outweighed disadvantages and it was agreed to set up the profile, which should become active within about 30 days. To help solve the question about re-searching records to find LC copy for this subset of materials, Sue offered the possibility that one of the Pres team could be trained to assist. ACTION: Mary Ellen will contact Netfix with the request to set up a new CAT2 category of BHB-APL. She will notify the rest of RS when the profile is in effect. (8/31 update: Charlotte has offered to learn how to do searching for these materials and will be trained by Cataloging in time for the first arrivals under the new profile.)

As a side issue, Peggy mentioned that the Preservation Team could help out her folks by taking on the Acorn updating after binding. (8/31 update: the Pres team has agreed to try this, at least on a temporary basis. Details still to be worked out.)

Speed Cataloging. Year-end backlogs have created a bottleneck in Order Services, especially with items ordered via Collection Manager. Speed cataloging in Order Services slows down the receipt of materials. Yet, sending the same materials to Cataloging for speed cataloging there would move the bottleneck to that team. No easy resolution came to light during the intense discussion. Staffing shortages are a recognized part of the problem. Flo also suggested a look at RS priorities. The discussion will be continued. ACTION: Clone Yuh Fen so she can work in both Order Services and Cataloging simultaneously.

The next RSIG meeting is scheduled on Sept. 20 at 1:30 in Baker.

Everyone was reminded to put the new parking stickers on their cars. Someone has already seen a tow truck prowling the Wesley garage.
