RS Holding Codes. Nancy Boggess-Korekach has been working on creating a RS-use-only set of holdings codes, a subset of the complete list. Her RS table will contain an additonal column identifying the appropriate spine label code. As the holdings code list has grown over time, some libraries have requested spine label location codes which are different from the holdings codes themselves. On the new RS code set, the spine labels which differ will be highlighted in red on the staff web. Meanwhile, she asks that the teams review her draft list to see what codes are NOT used by RS staff, and where spine labels differ from the holdings codes. RSIG decided that the final version needs to be posted under the General category on the RS Documentation page, and that the complete list should be moved next to it. During the discussion about holdings codes, Nancy explained some of the behind-the-scenes complications to RSIG. For example, there are 1,500 circulation maps. These are based on item types, library, and user profiles.
Retreat. RSIG agreed that a retreat would be good idea for the group. Possible issues to be discussed are workflow, communication, and/or collaboration. RSIG will continue to develop the idea of a retreat.
Annual Performance Review Process. RSIG described to Roberta the annual performance evaluation process in RS. Roberta indicated she'd like to see on-going statistics. Each team will share with Roberta access to their statistics.
RSIG Composition. Monica Sanchez has asked to be excused from regular RSIG meetings. Her request triggered a discussion about who should be in the permanent RSIG group. Zora asked if the RSIG meetings are open or closed. Roberta said they are closed because of sensitive topics, but that individuals can check with her if specifically interested in an issue on the agenda.
Updates and Announcements. Roberta brought up an email discussion she had with Sue about the new RS pseudo-patron (used by Baker to send items to Binding and Marking) causing confusion because it was described as RS Preservation. The group decided to change the description to RS Binding/Marking. Even though the description is similar to charges belonging to other libraries, the "RS" in the description should help keep it straight. Roberta told the group of a Feb. 9 meeting which will discuss loading and displaying ~11,000 NetLibrary records. Roberta announced that a System Enhancement Request Form (SERF) has been submitted to MIS (Management of Information Systems) to develop the software interface between SIRSI and PeopleSoft. We are now on the MIS agenda. When this interface is in place, BFAS can go away and SIRSI become the official library accounting system. Roberta also told the group about a tentative workshop for TENN-SHARE that she was asked to coordinate. There was some confusion about when, where, and what this workshop might entail. Roberta will follow up with more information as she finds out what's involved.
Susan reported that she is busy with Curriculum Lab materials and that she has started to think about the annual evaluation process.
Peggy described the activities of each of her staff. Linda is on Box 3 of the Sigaux materials. So far most have been true duplicates. Clint is busy with Central and Mngt. libraries transfers. Leonor is quite busy with her usual tasks, including an increase in pulling items from the RS inventory for catalogers. And, Joe Collins was wrapping up his last week at the Annex. Peggy hopes to fill that vacancy asap. Peggy also reported a new procedure for Dewey reclassification: A change in practice is being implemented. Cataloging will be responsible for Dewey Central Reserve items which need to be transferred/reclassed from the Annex to the Central LC stacks.
Sue reported that she and Nancy are about to begin testing of the UniToLars software. She also reported that the team is overwhelmed with both marking and binding at the moment. And, that the last problematic items of the Helguera collection are under evaluation.
Mary Ellen reported that she is in the process of interviewing candidates to fill Dan Riggs' position. So far, 4 interviews have been scheduled. Kathy Ma is still on leave in CA. OS is feeling the effects of Marilyn's departure. Mary Ellen also updated the group on the Collection Manager orders. OS has caught up with the UK approvals, but is still working on the domestic title backlog. It appears that the next batch of BHB books may indeed be the long- awaited group the Charlotte will be analyzing and speed cataloging. Sue will request a new psuedo-patron for the project because these items will be sent to Charlotte Lew.
Zora reported that things were "normal" in cataloging.
Nancy reported that she has completed new pseudo-patron profiles, is working on the holding codes chart (see above for details), and is working on adding urls to 40,000 records of the Early English Books series.
Roberta added that a group of processing folks will meet Monday, Feb. 12 to finalize that last wrinkle (new titles) in the Central Serial Binding procedure.
