RSIG members present at the May 22, 2002 meeting were Susan Bell, Zora Breeding, Sue Davis, Peg Earheart, Mary Ellen Wilson, and Roberta Winjum. Nancy Boggess-Korkach was absent.
1. CAAG requests that the outdated Cataloging Work Group documentation be removed from the web. After a brief discussion RSIG agreed that Ann Ercelawn should remove it. Peg will first check with Clint to make sure he was no longer using it.
2. Multiple issues surrounded the discussion of on order items, some items in the RS inventory, and the RUSH REQUEST button. The discussion itself illustrated that the differences in meaning among NOT AVAILABLE, NOT YET AVAILABLE, and NONE are not clear even to members of RSIG. RSIG would like CAG and ISAG to review the use of these terms. Apparently how an item is ordered affects what kind of message shows to the public. Some of the items in the RSinventory at the time of migration from NOTIS to SIRSI also present confusing messages. These messages are confusing to patrons and staff alike.
3. Nancy sent 12, 047 RS inventory item records to OCLC on May 21. The inventory was temporarily frozen at that time; nothing can be added or removed until June 1. The existing Annex charge pseudo- patron was disabled. Peg will request the creation of a new pseudo- patron for Annex staff to use when the shipping to and from the inventory resumes in a couple of weeks.
4. Sue and Roberta have identified a new way to label microfiche by generating peel-and-stick labels with MSWord's mailing label options, and have written a draft procedure. Roberta is consulting with library customers.
5. Early English Books Online records are now available. The vendor indicates there are 3 kinds of records available: 1)microfilm, 2) online, and 3) hybrid. RSIG discussed which type of records might prove the most valuable, both to TS and the end user. Roberta will request samples of the various types of records. She will also ask the vendor if/how these new records overlay existing records.
6. Sue and Mary Ellen both drafted parts of a procedure to address items damaged at the bindery. Sue will revise the document as a result of RSIG's discussion and will follow up with the bindery.
7. Serials Solution is a vendor which can create/maintain links to e- journals. Currently we do this manually title by title. The vendor is offering a beta product which uses CONSER-level MARC records directly loaded into local online catalogs, including holdings in the various databases we subscribe to. Several staff in the library are interested in this product and are investigating its potential.
8. Announcements:
Zora announced that Norma's actual last day is May 28, even though we said good-by May 22 at her retirement party. Rich Murray's last day was May 17. His original cataloger position vacancy has been posted with one application already arrived. Becky accepted the offer for the LAIV position. The paperwork for the position she vacates has been submitted. Cataloging has hired a student, Joe Norton, to help out over the summer.
Sue announced the summer hires for Preservation. Carrie Sprouse, Central Periodicals assistant, and Myra Foxworth, Divinity grad student, will both start work the last week of May in the repair lab and work into August. Lesley Grantham was welcomed back for the summer in binding/marking. Charlotte returned from her trip home to Taiwan. Daphne Walker is once again taking summer leave and will return the day after Labor Day. Sue also announced that the binding/marking backlogs have dwindled down to almost nothing and the team feels more in control of its workflow--and ready for the summer. The streamlining measures the team took over the last year combined with Patti's arrival have made the difference.
Peg announced that she is dealing with a large, and challenging, transfer of materials from the Observatory. She has discovered that some items are not on Acorn, but is investigating the scope of the problem. She has also discovered that some Observatory VColl items are not in Acorn. She predicts the Obsv. transfer database cleanup will take up to two years. It's very busy times for the Annex. Clint is also working on Science/Education withdrawals. Linda is working on Law transfers, and Leonor is busy with ILL requests and Science withdrawals. Susan announced that Education materials are slowing down.
Mary Ellen announced that May 20 was the official last day for libraries to submit routine requests. Lots of materials are arriving in the Baker mailroom as the result of the recent ordering surge. She announced that Sherry Huffer's position has been changed to an LAIII. She reminded RSIG that the Baker Bldg was undergoing HVAC upgrades Memorial Day weekend from May 24-27, but OS will have minimal staffing on Memorial Day.
Roberta reminded the group that she would be on vacation May 27 - 31st.
