RSIG MINUTES, 11/8/2000 PRESENT: Susan Bell, Nancy Boggess-Korekach, Zora Breeding, Sue Davis, Peg Earheart, Monica Sanchez, Mary Ellen Wilson, and Roberta Winjum.
AGENDA ITEM: Approval load duplication/Marcive processing An OCLC glitch caused 3 consecutive days' loading of the October 18th Approval Records load. Thus, what should have been only 180 records escalated into 540 records being added to Acorn. Ramifications involving Order Services, Cataloging and Authorities, and Marcive processing were discussed at length. Likewise, it was noted that all areas of Resource Services and also Public Services could be affected, and thus should be made aware of the situation. Action item: At minimum, all members of RSIG will be notified immediately, via email, if this happens again. Each, in turn, would notify others in their areas. Roberta would contact Public Services. Order Services will delete the duplicate records, as each of the Approvals is processed.
AGENDA ITEM: Electronic journal record-keeping in Acorn Discussion ensued regarding where overall responsibilities for Electronic journal record keeping is now; or where it should/could be in the future. Commentary regarding invoice payments, special discounts, requests for cataloging, and trend lines was voiced. Action item: Roberta will seek further input from Public Services. RSIG will continue to discuss the broader picture in regards in e-journals.
AGENDA ITEM: Book Fund Accounting System (BFAS) elimination project A committee, chaired by Roberta, has been charged with exploration of elimination of BFAS. A brief explanation of intra-University stakeholders in this process was given. The other Resource Services staff on this committee are Mary Ellen and Pat. At the time of this 11/8 RSIG meeting, a time for the 1st meeting of the Project Committee was yet to be confirmed. Action item: Roberta will continue to update the group on developments.
AGENDA ITEM: Circulation Counts for Pseudo-Patron Record Discussion of internal Resource Services' circulation was held. The additional charging count tallies basically give us false readings for true circulation. Library Administration, in particular had voiced concerns of the statistics. The group discussed the various internal charging/pseudo-patron charge numbers. Action item: All RS pseudo-patron numbers; including RS Inventory and Annex Messenger charge numbers will be manipulated by Nancy to no longer tally the internal RS charges.
AGENDA ITEM: Monthly Hi-lights reports The condensation of monthly hi-lights reports from the all areas of Resource Services were discussed. Hi-lights from other Library divisions were also discussed. Shorter, written reports are the RS goal. Action item: Each team leader will compress their written reports. Roberta will, in turn, consolidate what she receives before sending to Flo. Everyone was reminded that Flo may still need to compress further.
AGENDA ITEM: Charleston Conference Roberta gave a brief report on the Charleston Conference on Issues in Book and Serial Acquisitions. This included the topics of Electronic books, and OhioLink's experiences with electronic journal subscription usage. It was noted that their experience was that 58% of there electronic usage was for materials not owned in print.
ANNOUNCEMENTS: Mary Ellen reported that the UK-Prompt Cat. Profiles are now in place. Susan shared that the Training Co-ordinators had developed a user survey, soon to be available. Zora announced that the Helguera Project is ahead of schedule, with a targeted December completion date . She also mentioned that Pia serials, Music CD's, and Map orders were heavy. Susan reported that she is covered up with Curriculum Lab cataloging and liaison work. Monica followed up on the Collections Manager books and their processing streams. She also announced that a new vendor has been selected for more consolidated ordering of Curriculum Lab materials. Likewise, cross-training in Order Services is going quite well. Sue mentioned that many more books are coming through now to label. Binding has increased. Book repair requests, especially from Special Collections have increased. Nancy alerted the group to new item type and holdings code changes. (E-mail with the specifics was sent to everyone) Unicorn 2000 beta testing will start soon.
