RSIG Minutes, Nov. 14, 2001

 

All members were present.

 

Multiple copies display in Acorn.  Roberta told the group that ISAG and CAG had approved our recommendation that copy numbers be suppressed from displaying to the public in Webcat. 

 

ACTION: Roberta will send a Netfix request that this change be implemented.  When she is notified that this is done, she will pass the information on to RSIG as it will affect some Cataloging and Maintenance activities (we currently change copy numbers when adding replacement copies so that the public display is less confusing).

 

Working copies that aren’t shadowed in Acorn.  Ann Ercelawn has been working with Nancy to create a report which identifies items that converted from Notis with CATSTAT:c.  This code was used for items “not to be cataloged.”  These items were not shadowed upon conversion and individual titles continue to cause problems for patrons.  Ann requested this report to be run so that we could determine whether these could be shadowed automatically.  After looking at many titles from this report, Ann determined that a global shadowing was not possible.  Many of the titles are Spec Kits and some other materials that are intended for staff use.  Because some staff do not use Workflows (particularly in public services), they would not have access to this material if it were shadowed.  Other titles on the list, however, do need to be shadowed. 

 

Ann recommended that someone with experience look at the titles on the list item by item to determine if it needs shadowing.  Peg suggested that Linda Davis would be a good match for this project.  Ann is willing to serve as a resource person for questions, etc.  Linda will not have time to work on this in the immediate future because of other duties, but will be able to work in the project in the future.  Since these titles have been in the system since conversion, there is no urgency for this project.  There are a few matters that need to be examined by RSIG before work on this project takes place.

 

ACTION: RSIG needs to revisit the question of worktools and location codes.  There may be some changes needed in the existing RS and OUL worktool processing.  For example, Flo recommended that the Library for the Spec kits be changed form VU-PROCESS to CENTRAL because that is the closest match to where these items actually are housed.  She also recommended that the Call number field contain a more useful finding aid, such as OUL Room 611.  Spec Kits and other worktools housed in the OUL and intended for all staff probably need their own separate location code.  Also, all of the location codes used for RS worktools need to be examined to make sure they match our needs. 

 

Announcements:

 

Susan reported that she is still receiving TN textbooks, although Education is not sending as many as in the past.

 

Peg reported that she and Carlin are planning a trip to the Observatory in conjunction with Phase 2 of the project.  Observatory materials at the Annex are circulating.  Annex is dealing with a massive Science transfer to the Annex of  materials that are available on ProQuest or titles that have ceased.  Clint has taken over the Management/Central project.  He is also working on the Educaiton brief records, although he has had to slow down on that project.  Linda has completed 242 of the Central binding patterns.  Leonore is working on stamping microfiche and on OCLC cancellations for Education.  RS inventory requests are increasing.  Joe is working with the students on creating space upstairs.

 

Sue reported that the Preservation Team is still swamped.  She also reports that Observatory titles are causing confusion in the bindery software because they are coming through as Science now and still say Observatory in the profiles, and the team is working toward getting that resolved.

 

Zora reported that Norma has indicated that she will be retiring no later than June 1, and will be further reducing her hours after the New Year. 

 

Nancy reported that the date to upgrade to Unicorn 2001 has been set for Dec. 28-Jan. 1.  This will minimally effect patrons and staff as it will start after work on Friday and last through the weekend during the winter break.  LITS will be sending out a detailed agenda which will identify what Acorn activities will be available.

 

Mary Ellen reported that she met with Mary Beth concerning binding funds.  Mary Beth was concerned because of the discrepancy between Acorn and E-Dog.  Kelvin Watson visited from Ingram to give some additional training on using IPage.   The serials receivers have been helping Mary Ellen to map out their workflow.
