PRESENT: Susan Bell, Nancy Boggess-Korekach, Zora Breeding, Sue Davis, Sylvia Martin, Monica Sanchez, Mary Ellen Wilson

856/URLs: Mary Ellen reported that after asking OS staff to remove URLs from 856 fields (refer to RSIG minutes of 1/20/99), one of her staff noticed a URL that pointed to the Table of Contents for the title. Zora said that LC was providing these URLs. Should this type of URL be removed in addition to those that point to the "home base" for the electronic publication? ACTION: A decision was made to leave TOC URLs in place. An 856/URL should be deleted only if OS staff are certain that it applies to the location of the publication. If unable to determine, OS staff should refer to appropriate cataloger for clarification.

UPPER CASE/LOWER CASE: From action at a previous RSIG meeting, RS staff were asked to be consistent in using all caps and a hyphen (as prescribed by SIRSI) when recording holding codes. Mary Ellen asked if this practice should also be followed when putting the code in the comments field for use by Binding/Marking staff. ACTION: Holdings codes in the comments field should remain as formerly used in the NOTIS system, e.g., cen,per as opposed to CEN-PER, in order to facilitate marking procedures

505/520 FIELDS: Nancy reported that during Marcive processing of authorities, local fields (505, 520,95x) are not overlaid, but are repeated. She asked what catalogers are doing about these duplicated fields. Zora said that catalogers remove them when noticed. ACTION: All staff who catalog should be asked to watch for duplication of these fields and delete them.

ANNEX CHARGES/OFFLINE RETURN: Sylvia read a message from Peg Earheart that stated the Annex has been issued a new charge card that will be used for new inventory needing to be searched and manually updated by Annex staff. The routine for this manual update is in its beginning stages. Nancy reported that there were 354 titles charged against the card no. that Peg had given her. 286 titles or the 354 can be sent to OCLC for Offline Return. ACTION: Nancy will submit these titles to OCLC when she has determined the required format.

CHARGELIST: Sylvia showed a new format for a charge report that Mary Ellen had come upon. It is based on the inventory notice list, and may provide a more flexible report by which to trace items with charges placed before 1/1/98. This report can be run against individual or multiple users as opposed to running against an entire profile as were previous experimental reports. The problem remains as to how best to proceed with this clean-up project. ACTION: Sue will check with Martha Young at Central to see if she knows of available student help. The question was raised as to whether or not there are any RS staff with children of eligible age who might be interested in working on this project.

ANNOUNCEMENTS: Zora announced that there is an interview scheduled with an applicant for the original cataloger's position on Fri., Feb. 19. The open meeting for all staff to meet with this candidate is planned for 2:30 on that date.
