RSIG MINUTES 5/19/99
PRESENT: Susan Bell, Nancy Boggess-Korekach, Zora Breeding, Sue Davis, Peg Earheart, Sylvia Martin, Monica Sanchez, Mary Ellen Wilson
OFFLINE RETURN UPDATE: Sylvia reported that proper forms had been filled out and submitted to Solinet for participation in the Offline Return (batch loading) service. OCLC will notify us when the account is established.
CD ANNUALS: Zora mentioned that annuals with accompanying CDs should be put into jewel cases. Receiving staff at Baker do not have these cases. Initial pieces of a serial annual with CD need to go through cataloging in order to be assigned a number and put into a case; subsequent pieces can go straight to Binding/Marking. ACTION: All items, including serials, with any accompanying non-book material should be sent to the cataloging subject liaison. The accompanying material should be put into a plastic bag rather than inserted into book.
BACKUPS FOR FLOPPIES: Mary Ellen remarked that the current procedure for backing up floppies is outdated. ACTION: Mary Ellen will revise the current routine and route to Sylvia for posting on the web. GOBI ORDERS: Mary Ellen reported that she was in the process of establishing 2 additional accounts for ordering Central and Science firm orders via GOBI. The speed with which orders can be placed on GOBI will help to eliminate the backlog of purchase requests on hand. Our profile is set up to receive only LC records from PromptCat. These will overlay provisional records that are sent from YBP to confirm the GOBI orders. In order to avoid having to be researched by Verification or going through original cataloging, perhaps more than just LC records should be requested. ACTION: Sylvia will check with PromptCat as to their definition of member copy and how records are selected, e.g. what criteria is used for choosing between duplicate records, monograph vs. serial records, etc. She will also check with Eileen Crawford to see if Divinity would be interested in receiving more than LC copy.
PRIORITY FLAGS: Monica noted that there is some misunderstanding as to the handling of "priority" designated items, usually reference material and material with a requestor. Items with a priority flag are not meant for Rush treatment, but rather should be handled as the next item of business. After processing, they should be sent directly to their home location rather than to the Annex. ACTION: New flags will be inserted in material to indicate that there is a requestor waiting for this item.
SHELF READY UPDATE: Sylvia reported that the profile for physical processing of material has been sent to BNA. Before the profile for PromptCat can be completed. a new account no. from BNA must be received in order to allow for separate invoicing and shipping of the 3 subjects (Classical Studies, Economics, Sociology) that will constitute Group 2 in our evaluation process. Sylvia has requested, and is waiting, for this information. There was discussion about who would be responsible for correcting mistakes found in shelf-ready material. There was a suggestion to form a subgroup, consisting of appropriate RS staff and staff from the Central and Science Libraries who would be dealing with receipt and dispersal of shelf-ready material. RS staff would train the Cen/Sci staff how to receive material, how to deal with the invoices, and what to look for in terms of quality control. An error report form could be created to note cataloging and physical processing inaccuracies. ACTION: Sylvia will pursue the formation of a subgroup to deal with receipt of shelf-ready material.
WORKFLOWS: Nancy noted that CAAG and CAG are now using Workflows. She would like to see some RS staff begin to experiment with Workflows. The Workflows client could be set to point to the test file, if one chooses to experiment in test. Nancy suggested sending a message to NetFix in order to have the client installed. ACTION: Sue, Zora, and Monica will likely begin to use Workflows; however it may be after July 1 before time is available to experiment with it. [Zora has written procedures for getting started with Workflows. They can be found in the RS Cats procedure file. Nancy can also provide this information.
