PRESENT: Susan Bell, Nancy Boggess-Korekach, Zora Breeding, Sue Davis, Sylvia Martin, Mary Ellen Wilson

FY UPDATE: Mary Ellen reported that OS was able to put through all orders on hand at the end of the fiscal year. She and Nancy have been working on rollover of funds for the new fy. Although orders will successfully rollover, claim segments will not. Mary Ellen is running reports to capture important claim information that will have to be added manually.

CURRICULUM LAB GRANT: Mary Ellen said that no orders with the special fund no. established for the grant have been received yet in OS. However, there is lots of curriculum lab material coming through RS that was purchased with year end money.

PROMPTCAT/SHELF-READY UPDATE: Sylvia reported on a meeting that was held on July 13 to discuss guidelines for receipt of shelf-ready material at the Central and Science Libraries. Jo Bilyeu, Zora Breeding, Sue Davis, John Haar, Sherre Harrington, Sylvia Martin, Jeff Taylor, and Mary Ellen Wilson were in attendance. Zora and Sue presented some guidelines and suggested procedures as well as a checklist of potential problems for Central and Science staff to use upon receipt of material. Problems with physical processing and bib records should be sent to Jeff Taylor. Invoice problems should go to Mary Ellen. Sylvia noted that our BNA PromptCat profile was currently under review by OCLC, and should be ready for us to sign off on within a few days.

TABLE OF CONTENTS: We will be contracting with BNA for their MaRC Enrichment Service to add TOCs to cataloged records. These records will be batch sent via FTP at a frequency specified by us. Altho BNA has sent word that Marcive's authority service and the TOC enrichment service are completely compatible, Zora expressed concern that timing in sending the records could be a potential problem. If records were sent for TOC after returning from Marcive, or sent for TOC before loading, there should not be any problem. If records are loaded before TOC enrichment and later overlaid with TOC, the originals problems could result from changed bibs that come back from Marcive. ACTION: Nancy will look into timing issues.

COMPARISON STUDY: There was some discussion about how to proceed with the comparison study of shelf-ready material and other approval material being received from BNA. Since separate accounts have been established for different categories of material, it should be easy to identify the specified areas under study. A random sampling of shelved material will be done from time to time after material is being received on a regular basis.
