1. The Workflow Task Force will determine the need for a new task force. The Workflow Task Force will choose task force members based on expertise, interest, and representation of all involved teams.
2. The Workflow Task Force chair will contact each potential task force member to determine his or her willingness to serve.
3. The Workflow Task Force chair will prepare and send a charge to the task force.
4. The task force will meet with the Workflow Task Force to clarify any questions or concerns either may have.
5. The task force will hold meetings to develop a set of recommendations in fulfillment of its charge. This may require consultation with other library staff as necessary.
6. The task force will provide its recommendations to the Workflow Task Force for review.
7. The Workflow Task Force will meet with the task force to clarify any questions or concerns about the recommendations. The recommendations including any revisions as sanctioned by the Workflow Task Force will be sent from the Workflow Task Force chair to all Technical Services staff for discussion.
8. Teams within Technical Services will discuss the recommendations and give feedback to their team leader and the chair of the Workflow Task Force to bring back to the Workflow Task Force.
9. The Workflow Task Force, in consultation with the task force, will decide what, if any, revisions should be made to the recommendations.
10. The recommendations will be revised as necessary and redistributed. Further discussions among any or all Technical Services teams may be necessary if major revisions are made. Another round of revisions and discussions could result; however it is discouraged at this point.
11. The recommendations will now be considered policy and the implementation phase can begin. The chair of the Technical Services Workflow Task Force will inform Technical Services staff, and any others who are involved.
12. The task force will work with supervisors and others as needed to develop and write any new procedures required, and plan and carry out staff training as needed. The new procedure will begin once involved staff has been thoroughly trained. Additional consultation between the task force and the Workflow Task Force may take place at any time, and the Workflow Task Force should review any new procedures.
13. As a wrap-up, the task force will meet with the Workflow Task Force to provide feedback regarding the process and outcomes.
14. The policy and procedures will be reviewed within 6 months or less to determine
if the change has been successful or if further modifications are necessary.
