Shadowing Records
Acorn records may be shadowed in various ways:
- Copies which have a shadowed location in
the location field.
- Copies which have the shadow flag set to Y.
- Call numbers which have the shadow flag set to Y. All copies under
that call number are shadowed.
- Titles which have the shadow flag set to Y. All copies and calls are
automatically shadowed.
A record does NOT have to be shadowed at the title level to be totally suppressed.
If all copies and/or calls on a record are shadowed, the entire record is automatically
shadowed.
Important: Before changing any of the shadow flags on records at the call
or title level, do a DISPLAY ITEM command to make sure you mean to shadow everything
that will be shadowed by your change.
Searching Shadowed Records
Items that are shadowed can only be found by searching in WorkFlows. They may
be retrieved by a keyword search or a call number search, provided that you have
your qualify options set for searching the shadow catalog (either Yes or Both).
Displaying/Not Displaying Shadowed Records
Shadowed items will not display at all in Webcat. However, in WorkFlows you can
specify whether or not you want to display shadowed records when doing the DISPLAY1
ITEM command. The default for DISPLAY1 ITEM is usually set for BOTH, so that staff
using WorkFlows normally see all items that are attached to a title. However,
if you want to see just the items that Webcat users would see, you can change
the SHADOW option to NO in DISPLAY ITEM Options. This tip might be useful for
staff who are working on projects to shadow the calls for bound periodicals.
