Processing "Low Use" requests
Subject librarians and bibliographers from the libraries of Vanderbilt University,
the University of Tennessee, and the University of Kentucky have entered into
an agreement to try to reduce overlap in the collections of the three institutions
and increase unique acquisitions. Effective September 2005, our bibliographers
will begin designating some purchase requests as "Low Use" upon submission
to Order Services.
- As requests are received in Order Services, those requests designated as
"Low Use" will be separated from the regular requests, and given
directly to Angel Craddock to verify. Angel has agreed to be verifier for
all of these requests as we test this new procedure.
- The verifier will keep statistics on all Low Use requests received, by subject.
- The verifier will check all three catalogs for possible duplication. Ideally,
it should be possible to check all three catalogs at once by using the IRIS
interface. If the request duplicates ANY of the three libraries, the verifier
will note on the request "Dup of (library)". The request should
be considered a duplicate whether the title is received or still on order.
- The request will be returned to the appropriate subject bibliographer as
a dup. The verifier will keep statistics on the returned requests, by subject.
- If the request does NOT duplicate any library:
- Add to Acorn as usual (title may be ordered on CM or GOBI,
as appropriate).
- In addition to the routine information that is entered into
the 952, "LOW USE" should be added at the end of the field.
Upon receipt of materials designated LOW USE:
- When the Item record for a LOW USE title is created, it should be given
an Item Cat 2 of FIRM2.
