Creating Lists in Blackwell's Collection Manager

for bibliographers

Note: Order Services does not order Level 1 or Level 2 requests on Collection Manager. For faster processing of Level 1 or Level 2 titles, please submit them directly to Order Services, and not through Collection Manager.

Alternatively, Bibliographers may choose to create Requests in Collection Manager for ease of ordering.

 
  1. To create a Personal list, first retrieve a list of titles, either from searches, eNotes reports, or by browsing through the Profile. Tag a number of the titles in the list and click on the link [Add titles to list] found at the top of the title list. Using the second box on the page 'Add Titles to a New List', take the following steps:


    1. Add a list name in the field provided. This name will display for you on each title once the list is created. (Suggested naming: FUND, NAME, DATE - ex. 90024100 WILSON 10/19/06)
    2. Select the view: Private (only you can see the list), Library (all the users at you library can see it, but cannot modify it), Group (all the users in your linked account group can see the list, but cannot modify it - would be useful if we shared this information with other libraries outside of Vanderbilt). - for our purposes, please use Library.)
    3.Add notes in the field provided. These notes will display on the screen when the list of titles is displayed. In this note field, please include your Fund Code, Holding Code, and any special notes that pertain to all titles in the list.
    4. Click on the Submit button to create the list. The page will refresh and return to the title list. You will notice that each title tagged will now have an icon and an annotation following the title, citing the list name.

  2. To add titles to an existing list, tag additional titles from any title list and click on the link, [Add titles to list] found at the top of the title list. Using the first box on the page 'Add Titles to a New List', take the following steps:


    1. Select a list name in the drop menu. This name will display for you on each title once the titles are added.
    2. Click on the Submit button to add the titles. The page will refresh and return to the title list. You will notice that each title tagged will now have an annotation following the title, citing the list name.

  3. To remove a title from a list, you can click on the [Remove from list] link that follows any title that is part of a list. If the title is part of more than one of your personal lists, you will be given the opportunity to select from which list to remove it. (Batch deleting of titles from a list is available from the Personal Lists management page.)
  4. Notify OS (via RSORDERS mailbox) that there is a new list, citing the list name. On receipt of the e-mail, OS will count the number of titles ordered and forward the information to the appropriate subject verifier for further processing.
  5. After all titles on the list have been ordered, a paper copy of the list will be returned to the bibliographer. Once ordered, the bibliographer may DELETE the list, or change the list to PRIVATE to save it. We do request that you not leave the list in the Shared status once the list has been returned to you.
