Always check for bibliographer's instructions before considering the request/item a duplicate. If the bibliographer has not indicated that duplication is OK, check with the bibliographer to determine whether they wish to duplicate existing holdings (except as noted, below). For intentional duplicates, see also Processing Orders/Duplicate Copies.
This would automatically be considered a duplicate.
Unless the request/item indicates that the bibliographer wishes to duplicate ANY library, this may be a duplicate. Check with the bibliographer before proceeding (see further instructions, below).
These are generally considered to be duplicates, and should be returned to the bibliographer. If the request/item is to be added, add information to the 952 to describe the reprint ("1976 pbk"), etc.

If the edition contains any previously unpublished material or unique commentary, this is not necessarily a duplicate. If the request/item is to be added, it should be added with a new record. (Note that this pertains to MONOGRAPHS only.)
If the title duplicates an earlier edition of the author's Collected Works, check the Contents field (505) of the bibliographic record for the specific titles included in the piece to determine whether any additional works may be present that were not included in the earlier edition.
If duplication is discovered, and the bibliographer has confirmed they do NOT wish to duplicate, the slip should be noted "dup of (Library)(Acorn number)". Add your initials and the date, and return the slip directly to the bibliographer. For gift materials, the slip should be noted as above, but the slip and item should be returned to the appropriate person within the library.

If the material is print, it should not be considered a duplicate of electronic records from the following sources:
When ordering titles or processing gifts that duplicate any of the above, do not add to these existing records. (Internet titles that duplicate Law or Biomedical are an exception - see Internet Orders procedure.)
If duplicating Law, BioMedical, or Documents, add a 952 to the new record "intent dup of (Law, BioMed, or Docs)". Do not do this for duplicates of the above electronic records.
The request/item is not considered a duplicate if the Women's Center (or any other VUCenter Library) holds the title. However, the piece in hand IS added to the same record. On receipt, these are NOT TREATED AS IDENTS. Treat the record as UNCATALOGED. If the piece can be speed cataloged in OS, edit the DATE CATALOGED of the record to TODAY (so that it will be counted in TS statistics), and be sure to update our holdings with OCLC.
