Internet Orders

Orders for electronic journals / e-books available online

Note: effective April 2007, the Collections Committee proposed, and the Library Directors Council approved the decision to cease adding physical libraries to Acorn records for electronic resources. In general, the only library for e-resources will be the INTERNET library. Exceptions: Law will continue to add a Law location for e-publications, and Divinity will add a DIV location for Div School theses and dissertations. 4/2007 This document has been updated to reflect this new policy.

Upon receipt of a request for an electronic journal or e-book that is available via the Internet:

  1. If the title is already held by Biomedical or Law and there is no print copy involved, the preference is to share the record with them (per CAAG, March, 1999), since there is no material that is actually "housed" at any of these locations.
  2. If there is not already an INTERNET call on the record, add one for the order in hand. Add the appropriate notes to the 952 and forward for ordering.

  3. If the title is NOT already in Acorn, or if the request is for an order that is an intentional duplicate of a print copy, a separate record for the electronic version will be added.

    Add a record, creating only the Internet call. Enter the appropriate information in the 952 regarding the ordering library (or libraries).

  4. If there is an 856 (url) in the record:
    1. If the record is for an electronic journal, delete any exisiting 856 in the record.
    2. If the 856 links to Table of Contents or other publisher information, it may remain in the record as is.
    3. These should not be speed cataloged.

Creating the order:

    If the vendor is not known at the point of ordering (since these are sometimes negotiated by the libraries), Order Services will create an order using 0000 as the vendor. Once more specific information is known, the order will be edited to reflect the new information. Be sure to use correct holding code for Internet in the order record.
