Processing Orders / Duplicate Copies

(See also Criteria used to determine duplication.)
Same Library:

1. Search Acorn for correct title
2. Add a 952 field indicating Bibliographer's name, Fund; Location; verifier's initials and date, each separated by a semicolon (;):

Example: 952: ROMANS; 6100; CEN; INTENT DUP; ac05012002

3. Write Acorn control number, "INTENT DUP", fund, verifiers initials and date on order request form.

Different Library:

1. If title is a duplicate of a different library, create a Call with NO COPY*. (Under review--see Monica or Mary Ellen)

2. Make Class Scheme "AUTO".

3. Add a 952 field indicating Bibliographer's name, Fund; Location; verifier's initials and date, each separated by a semicolon (;):

Example: 952: GRAHAM; 4600; MNGT-REF; INTENT DUP OF CEN; ac05012002

4. Write Acorn control number, "INTENT DUP OF (LIB)", fund, verifiers initials and date on order request form.

Upon ordering:

    1. At the point of ordering, the note "INTENT DUP" will alert ordering staff that the order should be linked to a particular call/copy. Clicking on the appropriate call will attach the order to the correct library.

     

    *To create a call with NO COPY:

      1. Go to Add Volumes and Call Numbers Wizard: Properties
      2. On the Behavior tab, under Add Another Volume, UNcheck "Add COPY when adding new call number".
