In the process of overlaying a record, it should be noted that the SmartPort call number overlay works as follows:
If you select Replace Current Record in wizard properties, SmartPort will handle call numbers in the following manner:
- If the existing record has an auto-generated call number for the same library, the call number of the incoming record replaces the auto-generated call number.
- If the existing record has an actual call number for the same library, the existing call number is retained.
- If the existing record has a call number for another library, SmartPort will do nothing to the call number; the bibliographic data is updated only.
With this in mind, if you overlay a record that has an actual call number (that is, not an AUTO call number, but an LC-formatted call number), SmartPort WILL NOT overlay the old call number with the call number in the new record.
However, you can easily trick SmartPort into overlaying the call number by re-formatting the call number as IF it were an AUTO call number:
Prior to overlay:
In Modify Title under the Call Number/Item tab, insert XX in front of the call number, then surround the rest of the call number with parentheses:
E902 .R53 2006
becomes:
XX(E902 .R53 2006)
This call number will be read as an AUTO call number, and it will be overlaid when the new record is brought in. (It is NOT necessary to change the Class Scheme to AUTO for this to work.)
