PromptCat Cataloging Reports

1. Select "PromptCat Reports" under Order Services on the RS Documentation web page. You will be taken to a list of PromptCat files that have been loaded within the last year.
2. Select the list you wish to view. Each item represents a file that was sent to us. For example, bwk.010505.html. The first three characters represent the source of the books, as follows:

   bwk	Blackwells, UK
   bwx	Blackwells, US
   ydx	Yankee Book

   The next 6 characters represent the date that the file was produced (this will typically be within1-3 days of the date of the invoices. 010505 (YYMMDD). This file was sent to us on May 5, 2001. The html simply indicates that this is an html file.

3. Click on the file that you wish to view.
4. The first item on the Report is the Grand Summary. This information represents all of the invoices that are in the report, the number of items sent on each invoice, and further information about the number of records searched and found by OCLC. You will also find the date that the holdings are to be set.
5. Beyond the Grand Summary, you will find each invoice listed, and each title sent on that invoice.
6. Under "Records Matched, Records Delivered", you will find the OCLC number of the record sent, the beginning of the call number, the Cataloging Source, Encoding Level, Type, and whether or not the title is part of a Series.
7. Under "Records Matched, No Records Delivered", you will find an explanation of WHY no record was delivered (HOLDINGS ALREADY SET FOR THIS INSTITUTION - indicating the title is a duplicate).
8. Under "No OCLC Record Found Detail Lines", you will the basic information regarding the title, including the 949, 980, and 981 fields that have been added to Acorn.

   Suggestion: if you are looking for a particular invoice, go to "Edit", then "Find(on this page)", and enter the invoice number you are searching.
