ALA Award Winning Books

Adult Award Program (click for list)

1) Search ACORN first for duplication:
Begin searching by doing title search. (Always do your searching from the information on the book's title page, and not from invoices.) If that is not successful, then do an author search and then, if nothing is found, try the ISBN. Since we receive PromptCat records for these books, expect that you will find a record. The PromptCat record that you find should contain the invoice number of the piece in hand.

If multiple records are found on ACORN:
The two records should be merged. Add the piece in hand and flag as an Ident, if appropriate. (Per MBBlalock, duplicates may be added to the collection.)

 

2) Edit the Bibliographic record:

Add 586 field to indicate the specific award: (ex:National Book Awards. Poetry) This information can be found on the paper invoice and the Blackwell slip.

Add to the existing 980 field; PAID ON RS190611

3) BOOK MAY BE SPEED CATALOGED AT THIS POINT IF APPROPRIATE. (Refer to Speed Cataloging Procedure.)

4) If item is not speed cataloged, add a 951 field indicating the cataloging status. Insert Acorn printout in the book if MC or flag as NC, as appropriate.

5) Edit Item Record:

CALL NUMBER INFO: Insert XX in front of the call number if not Speed Cataloged.
LOCATION: Change the HOME LOCATION to STACKS (unless LRC, see below), and the CURRENT location to BAKER HOLD.
CAT 1: (enter appropriate subject,)
CAT 2: (enter BLANKET-OR)

ENTER THE CORRECT BARCODE NUMBER INTO THE RECORD.
Add Price (from the invoice) to the Price field of the Item record.

 

6) Winners of the following awards receive special treatment:

ALA notable book list. Fiction
ALA notable book list. Nonfiction
ALA notable book list. Poetry

National Book Awards. Fiction
National Book Awards. Nonfiction
National Book Awards. Poetry

These award winners (only) should be processed for the Leisure Reading Collection:

If Order Services speed catalogs these materials, the receiver should charge these materials to pseudo-patron #80465 (RS BAKER MESSENGER TO CENTRAL), box the books, and ship them directly to Janet Thomason/ Central Library/ Leisure Reading Collection. Be sure to include the "Priority: Leisure Reading Collection" flag. See procedure for proper barcode placement.
Materials that are not cataloged in Order Services should be routed, including all necessary flags and paperwork, to the appropriate cataloging stream.


Processing in Cataloging

Catalog material as appropriate.
Cataloged Leisure Reading books should be taken to Yolanda in Central Circulation. Circulation will take care of discharging and physical processing of the materials.

All other titles should be processed for the CENTRAL STACKS.


6) Invoices should be paid on the blanket order record (a2756164, Award winning adults books [blanket order]). Create a new orderline, listing the titles received. Be sure to make Date Loaded = TODAY. Add invoice number in order Parts field.

7) Barcode each piece, flag, and route. Materials being sent to Cataloging should include LRC flags, (when appropriate), a RUSH flag (if not LRC), the Blackwells slip (it carries the Award information), and a white flag with the word "AWARD". (The presence of this "Award" flag alerts Cataloging to 586 field so that it will not removed if the record is overlaid.)

8) Initial and date the invoice. Forward the invoice to Sherry Huffer for final processing.
