Physical Processing in Order Services
(Monographs and bound Serials)

If it is noticed upon receipt that the material is damaged in anyway, immediate steps should be taken to either replace the material or send it to Preservation for repair.
Do not handle library materials while eating.
Do not write notes on top of books where the impression will damage the cover.
Always keep in mind that we may need to ask permission to return the material to the supplier. Until it is confirmed that we do indeed wish to keep the material, do not mark the piece in any way.
Care should be taken when paperclipping materials inside the volumes to avoid damage to the pages.



Processing Option A:

Central, Education, and Music: (see exceptions, below)

Bound volumes - place one barcode on the back cover, and one top center of the inside of the front cover. If the book has a dustjacket, it should be placed inside the book, close to the rear. (Do not insert in the very front where it will interfere with reading the paperwork or the title pages.)
Paperback volumes - place one barcode on the back cover, and paperclip the other two on top of the paperwork in the piece. This includes serials that are designated BIND ON RECEIPT.

Processing Option B:


Divinity, Curriculum Lab (books), Science/Engineeering libraries, Management, Rush and/or Patron Requests (see procedures), Do Not Bind:

Hardcover and paperback materials are both processed the same. Attach one barcode to the back cover, and one to the top center of the inside of the front cover. (For Divinity books, the barcode on the back cover is always placed in the vertical position.) If the book has a dustjacket, it should be placed inside the book, close to the rear. (Do not insert in the very front where it will interfere with reading the paperwork or the title pages.) Insert appropriate flags (Rush, Patron Request/Do Not Bind, or DO NOT BIND)


The following illustrates the proper placements of the barcode on the back cover of a book - in both cases, the barcode should be placed 1/2 inch down from top of cover, and 1/2 inch in from spine. On bound volumes, the barcode may be placed slightly closer to the top edge of the book to avoid covering text, if necessary.


If the placement of the barcode vertically (1) will cover text, the barcode may be placed horizontally in the same location (2). If the latter position will also cover text, the default is to place the barcode in the vertical position. Care should be taken to avoid placing the barcode in the gutter of the book.
These guidelines apply regardless of the language of the book - that is, a Hebrew book will have the barcodes attached in the same places as one printed in English, even though the Hebrew book will read from right to left.

 

Other Special Handling Instructions:

Special Collections and CENF-BAUD (Baudelaire) - (not including VCol and VCos)-

DO NOT ATTACH ANY BARCODES TO THE BOOKS. RECEIVERS SHOULD GIVE THESE BOOKS TO SUZANNE BELL FOR PROCESSING (VCol and VCos may be barcoded and marked).


Leisure Reading Collection (including SUPERRUSH)- IF there is a dustjacket.

1) Attach one barcode vertically to the back of the book itself in the usual location.

2. Attach one vertically inside the front cover about half way down along the spine. ( This one will then be visible when the jacket is attached.)

3. Attach one vertically to the back of the bookjacket near top of spine. If no dustjacket, barcode as usual.


Working Collections -

These materials are not barcoded unless the record indicates otherwise, as with Div Working Copies.


Arts or 0300 funded materials-

These materials are given special treatment in Binding. Material with a Location of ARTS should receive an ARTS flag. Material paid for on an Arts fund (0300, 0310, 0352, 0353, 0356, ETC.), but NOT going to ARTS, should receive an "0300" flag. It is not necessary to use both for materials that are paid for by, and going to, ARTS.

Condition problems:

Receivers should always be aware of the condition of the material they are handling. Watch for broken or brittle covers, torn pages, etc. If materials are sent to us in damaged condition, we may be able to return for replacement. Particularly with gift materials, watch for mold, pests, and other problems. If discovered, the material should be isolated immediately, and enclosed in plastic (we have bags for this purpose). If in doubt as to the condition of the material, check with Preservation before processing. Materials may be sent to Preservation for minor repairs.

Routing:

Cataloged materials (Serial added volumes and materials Speed Cataloged in Order Services) will be placed on the Binding/Marking truck. Place hardcover materials on the top shelf, and paperbacks on the bottom shelf. ALL these materials will be charged to one Binding/Marking number (274566), but hardcover and paperbacks will be boxed separately, as much as possible. Boxes will be addressed to Binding/Marking , from Order Services, and dated.

Other materials should be routed as appropriate.
