Series Standing Orders

Receiving:

Upon receipt, the serial receiver will add the following information to a workslip for each piece received:

Note: The procedure for Lecture Notes in Computer Science (for series that require a URL) has been archived upon the cancellation of that title. Let MEW know if it needs to be re-linked to the Receiving page.

Also note: As of December, 2004, OS processes SSO's for all of our customer libraries except Divinity.

1) Check the volume holdings for the series record to be sure that it has been updated to show receipt of the piece in hand.

2) Search ACORN for duplication:


    Begin searching by doing title search. (Always do your searching from the information on the book's title page, and not from invoices.) If that is not successful, then do an author search and then, if nothing is found, try the ISBN.

    If a duplicate record is found on ACORN:
    The duplicate is most likely going to be an approval - check the status of the approval for possible return.

    If duplicate is kept, follow procedure for processing of copy 2's

 

3) If no record is found in Acorn, bring in a record from SmartPort or create a Provisional Record. (WorkFlow Properties may be set to Create Copy when the provisional record is created in Acorn.)

4) Insert XX into Call Number. Remove oclc number from Title Key. Add 952 to record: "Paid on (Acorn Title Control number for main series)".

5) Check SAR for correct captioning, and edit caption if necessary.

6) RECORD MAY BE SPEED CATALOGED AT THIS POINT IF APPROPRIATE. (Refer to Speed Cataloging Procedure.) Do not speed catalog if series is Classed Together/Analyzed. (Note: Do not Speed Catalog Rand Corporation titles (Ex. MR / Rand Corporation); these require special call numbers and should be sent to the Original Cataloger for processing.)

7) If item is not speed cataloged, add a 951 field indicating the cataloging status. Insert Acorn printout in the book if MC or flag as NC, as appropriate.

8) Using "Add Volumes and Call Numbers Wizard", add Copy, and edit Item Record:
