Serial Cancellations on Acorn

                                                                                  

In the order record:

1)     Post note in Comments field of Additional Orderline Information of line 1: "cancelled per (bibliographer) ; your initials and the date.

2)      In parts field, change note to Standing order (or Subscription) cancelled

3) Using the Create Cancellation Wizard, add a cancel segment to the order. (This step is crucial - do not simply proceed to step 4! ALL cancelled or closed orders must contain a cancel segment, with a number of copies cancelled = 1) The following may be set in the defaults of the Wizard, if necessary:

4)      Be sure that the # copies encumbered, Funded Copies and Holding Distribution # copies are all "0".

5) After you update the record, be sure that the order is properly balanced, and that no error messages occur (for example, that the order is over- or under- encumbered or distributed).

 

6) In the Parts field of the cancellation segment, enter "cancellation".

 

If it’s a periodical or serial that’s prepaid on a subscription basis (i.e., one full year or a specified period paid in advance), in the Serial Control Record:

1)     Under BASIC, change the Status to Cancelled.

2)      Under Extended Information, enter cancellation note ("cancelled at the end of [YEAR] per ( ) ;your initials and the date, and a note: "notify Periodicals Dept on receipt of last issue that order is cancelled".  Also add a NAME field, "CANCELLED AT END OF [YEAR]". If there are issues that have been paid for but not received, add a note: “Do not create any new predictions.”

3)      Remove any predictions for issues no longer expected from the Expected folder

4)      Update MARC holdings; in the 852 Location field, change the "|z Scroll down for list of current issues" note to "|z SUBSCRIPTION CANCELLED".   If title is "KEEP CURRENT ISSUES ONLY", then a add note to the SCR to notify cataloging when last issue is received.

If it’s a serial with volumes or issues that are paid for as they are received,

1)      Under BASIC, change the Status to Cancelled.

2)    Under Extended Information, enter cancellation note ("cancelled after [NUMBER  or YEAR]".

3)      Remove all predictions from the Expected folder.
