Technical Services Internal Binding Procedures
Heckman Bindery pick ups and delivers on alternate Thursdays year round with holiday breaks at July, Thanksgiving, and Christmas. See the shipment dates.
What we do and how you can help:
1. Send your periodicals, serials, and monographs to Binding in time for them to arrive by the Thursday BEFORE the outgoing shipment date. (These dates are posted on the same document listing the bindery shipment dates.) We use the lead time to prepare the items for shipping. Our general rule is first in, first out. If you send us items early, we can get a head start on your material.
2. If your library is located inside the GLB, we appreciate your bringing your items to us on a book truck that you can leave with us. We do not always have spare trucks to which we can quickly offload.
3. If you are planning to send an unusually large amount of material for binding, please let Binding/Marking know as far in advance as possible.
4. If we are unable to process everything in time for the next outgoing shipment, we treat periodicals and serials as higher priority than monographs. If your priorities are different, please let us know. We want to provide quick turnaround for all your materials, but sometimes we must choose.
5. Provide as much information as possible with the periodical and serial titles. Many titles are similar to each other. Supply the LARS ID number and correct variable information required for the spine for each title.
6. For those of you who request the AT BINDERY report, we will generate that report after the entire shipment has been completed and the files sent to the bindery. That means we can get you the report by late Thursday or Friday of the shipment week.
7. All periodicals, serials, and most monographs require data input into LARS, the bindery's software. The only types of material that don't require this step are monograph mylar binding and pamphlet binding. For periodicals/serials, there is a title pattern already in the database and we only have to update the information for the current volume. If it is a new periodical/serial, we create a new pattern which is added permanently to the database. For monographs, all the records are input for one time only and are purged from the system after the items are bound.
8. Remember that Heckman Bindery cannot guarantee that volumes more than 2" thick will stay bound properly. Try to collate your periodical and serial issues accordingly.
