Processing for Level 1:These materials receive immediate processing through ALL TS Processing points.
Our goal for the processing of these materials is to have them discharged from TS within 24 hours of the receipt of the materials whenever realistically possible and appropriate.
- Bibliographers:
- Bibliographers will note on the request that the order is Level 1Priority. (Click here for link to purchase request form.)
- If there is a requester to be notified, the bibliographer should include the requester's name and contact information in the request, and check the "requester is to be notified" box.
- If the bibliographer desires the requester's name to be entered into the record, but they are not to be notified, the bibliographer should include the requester's name, and check the "add name but do not notify" box.
- Orders may be submitted by e-mail or campus mail.
- Verification:
- On receipt in OS, requests will be dated and delivered directly to the appropriate verifier or their alternate. These requests will be processed immediately by Verification and placed in the RUSH bin, or handed directly to the person in OS responsible for creating the order. See "Notes for 952 Field" for further instructions on noting the bibliographic record.
- Ordering:
- Orders for these materials will be placed in the most expeditious way (direct, Ingram, Amazon, etc.) If necessary, orders will be placed by phone or fax.
- For materials changed to Level 1 after the order has been placed (on the basis of Rush requests) OS will note the record accordingly, and update the order with the existing vendor if necessary.
- Receiving:
- If the material is eligible for Speed Cataloging, receiver will catalog, flag appropriately (see note on flagging, below), charge, and place on the appropriate shelf in the Mailroom to be sent to Marking. As they are boxed, materials should be dated and marked "Level 1". (Records for Level 1 materials should be re-searched if the existing record cannot be speed cataloged.)
- If the material is NOT eligible for Speed Cataloging, and the material is a Patron Request, the receiver has the discretion of sending the material directly to the designated Library's Circulation desk. This decision is based on the urgency of the request as well as other time-related factors (such as the messenger schedule, day of the week, etc.) (see procedure.) Otherwise, receiver will flag the material appropriately (including a copy of the Patron information such as copy of order, Rush Request e-mail, etc.), charge to 373618, and place on Level 1 shelf in Mailroom. As they are boxed, materials should be dated and marked "Level 1".
- NOTE: Divinity and Music materials (which are not cataloged by TS) are placed on the appropriate shelf in the mairoom uncharged. They are sent daily directly to the cataloger in that library, appropriately charged and flagged, with a copy of Patron Request information if appropriate; boxes should be marked "Level 1".
- Cataloging:
- The following options may be considered within Cataloging:
- Immediate Copy Cataloging, or
- INVD, (if eligible), or
- If the material is a Patron-Request, the cataloger has the discretion of cataloging immediately (time permitting), or sending the material directly to Circulation uncataloged, to be cataloged when returned by the patron (see procedure).
- If the material is not a Patron Request (and so is destined for the shelf), the material should be cataloged immediately. After cataloging, material is placed on the RUSH marking shelf.
- Marking:
- Marking staff will rush label and discharge the material.
- Central and Divinity materials will then be delivered directly to the libraries.
- For all other libraries, materials will be packaged separately from other materials. The packages will be labeled "RUSH", and sent to the libraries using the earliest possible messenger delivery. (If a requester is waiting, Marking may arrange to rush label the material and arrange for delivery or pickup.)
- Binding:
- Level 1 materials are not sent to the Bindery.
Flags: It should be noted that there is no "Level 1" flag. The existing flags for these categories should be interpreted as "Level 1", without additional flagging:

Material that has been circulated uncataloged should be routed to Cataloging upon return, to be added to the Level 3 (Routine/Standard) workflow, provided subsequent requesters have not placed additional holds on the material.
