Replacing Volumes Damaged or Destroyed at Mid Atlantic Bookbindery



1. Mid Atlantic Bookbindery notifies us a volume is damaged and returns the damaged volume with notes, OR binding staff discovers unrepairable damage while receiving volumes returned from the bindery.

2. Machelle/Karen notifies Linda Davis to withdraw item.

3. M/K requests and receives a letter from Mid Atlantic Bookbindery authorizing us to replace the volume and bill the bindery. We have 90 days to claim the damage.

4. M/K emails the volume/title information to the RSORDERS mailbox to place an order. M/K puts note in item record COMMENTS field that book was damaged during binding.

5. When replacement volume is ordered, OS puts a note in the order record linked to volume's bib record. OS notifies M/K that order has been placed. Replacement price will be included in the OS slip.

6. M/K sends invoice accompanied by authorization letter to Mid Atlantic Bookbindery for payment.

Invoice will include the estimated replacement cost plus $35 processing fee.

7. Mid Atlantic Bookbindery sends a check to M/K to pay for replacement + processing costs. M/K credits check to Fund # 10909010.

8. a. When replacement copy arrives, it will be processed like any other replacement copy.

b. If no replacement copy can be located, OS shadows the record, if appropriate.
